Important: When you ship with UPS using the discounted rates offered by Sendcloud, several commonly applied surcharges are already included in the label price.

📐 Dimension & size surcharges
Volumetric weight surcharge
Make sure to consider volumetric weight when selecting a UPS shipping method.
Use the following calculations:
- Volumetric weight (kg) = L × W × H / 5000
- Girth (cm) = L + 2 × W + 2 × H
Examples:
- Parcel weighs 2 kg, volumetric weight is 34 kg → ship as 34 kg
- Parcel weighs 27 kg, volumetric weight is 8 kg → ship as 27 kg
UPS charges based on the greater of actual or volumetric weight.
Surcharge for large packaging – €25.20
- Applies if length + (2 × width) + (2 × height) > 300 cm, but ≤ 400 cm (UPS limit)
- Minimum billable weight of 40 kg for large packages
- No additional handling fee if this surcharge applies
Over maximum limits – €106.20
Packages with:
- An actual weight of more than 70kg; or
- With a length of more than 274cm; or
- With a total length + size [(2 x width) + (2 x height)] of more than 400 cm
...are not accepted for transportation. If they are found in the UPS system for small packages, additional costs will be charged to the amount of €475
Parcels with a belt circumference (length + 2 x width + 2 x height) more than 400cm will also receive a large package surcharge.
📦 Packaging & handling surcharges
Additional handling costs – €5.20
Additional handling fees apply to:
- Items in outer containers made of metal or wood
- Cylindrical items (e.g. barrels, drums, tires) not packed in corrugated cardboard
- Packages with longest side over 100 cm or second-longest side over 76 cm
- Packages over 25 kg, or shipments where the average weight per package exceeds 25 kg and is not specified
UPS may also apply this surcharge to parcels requiring special handling, at their discretion.
Due to the extra processing involved, no money-back guarantee applies: UPS won’t refund the shipping cost if these parcels are delayed.
Prohibited item fee – €280.00
There are certain prohibited items that UPS will not ship due to laws or regulations. It is the shipper's responsibility to comply with current government regulations or laws applicable in each country.

Missing Package Level Detail – €4.45
A fee applies when the shipper does not provide a timely upload of all applicable Package Level Detail (PLD) information to UPS before package pick-up.
📮 Pick-up, delivery & shipment issues
On-call collection (requested by the end customer) – €3.20
You can schedule a UPS pick-up from your home or office at ups.com or by calling 020 50 40 500. One request covers all packages and can be planned for the same or a future day. A surcharge applies for on-call pick-ups, including Electronic and Print Return Labels and alternate pick-up addresses. Cash payment is available.
Charges vary based on request type:
- Same Day by Phone
- Same Day on the Web
- Future Day by Phone
- Future Day on the Web
No surcharge applies to:
- Daily pick-ups with a customer agreement
- Return pick-ups in UPS 1 or 3 Attempts Returns Plus (only first attempt included)
- pick-ups of international shipments outside the EU made during the same stop
Undeliverable Shipment Surcharge – €7.05
For international shipments that are refused or undeliverable due to reasons beyond UPS’s control, UPS will contact the shipper for instructions.
Return costs, including forwarding, transport, duties, taxes, and a return surcharge, are at the shipper’s expense.
The UPS Service Guarantee does not apply to returned undeliverable packages.
*For UPS Standard to Mexico, undeliverable shipments are automatically returned to the exporter.
Special handling of Undeliverable Shipments – €8.10
If UPS cannot deliver a Worldwide shipment, it will be processed based on your instructions. The shipper pays transport costs and a surcharge.
For shipments within the EU or your country, UPS returns them via Standard service (if available), with transport and fuel costs charged.
Surcharge Return shipments - Print label – €1.97
If your customer has the return label printed at a service point, this surcharge will be applied.
Weekly service charge – €11.57
Without special arrangements for collection, a UPS driver will visit you once a day to collect any shipments. A weekly service charge will apply.
Saturday Delivery Surcharge – €4.20
A surcharge applies for all shipping methods that include Saturday delivery.
Collect on Delivery (C.O.D.)
UPS will attempt to collect payment for your shipment either online prior to delivery or at the time of delivery by cash, cheque, or card payment.
Cost: 1% of the value of the goods or €11.20, whichever is higher.
Declared Value for Carriage
UPS automatically protects every shipment against loss or damage up to a certain value, as described in its liability terms.
With Declared Value for Carriage, you can increase UPS’s limit of liability for proven losses by declaring a higher value for carriage on the UPS shipping documentation. The value of the goods declared must not exceed USD 50,000 or its local currency equivalent per package. For more information, refer to UPS’s Terms and Conditions of Carriage.
Cost: 1% of the value of the goods declared for carriage, with a minimum charge of €10.20.
Service Fee – €0.50 per shipment
🧾 Billing & correction surcharges
Shipping Charge Correction Audit Fee
This fee applies to domestic, export, and import shipments when a charge correction exceeds 25% of the original net shipping cost (transport fees only). The correction is based on the billable weight, whichever is greater between actual and dimensional weight.

Cost: €1.50 per shipment or 8% of the correction,
whichever is higher
Receiver or Third Party Refuses to Pay – €13.95
If the receiver or third party is selected to pay but the account number is missing or incorrect, UPS will try to find it. A processing fee per shipment is billed to the sender regardless.
🌍 International & customs surcharges
Import fees
UPS charges the following import fees, which Sendcloud will pass on to you (the merchant):
- Import duties: Based on the product’s HS Code and value.
- Import VAT: Calculated using the importing country’s tax rate × the value of the goods. This VAT can usually be reclaimed in your regular VAT return.
- Provision costs: If UPS pays duties or VAT upfront, they charge a service fee:
– €6.70 per shipment (if value is ≤ €22), with a minimum of €13.80
– 2.5% of the prepaid amount (if value is > €22)
Entry Preparation Fee – €6.95
UPS will charge a fee for every Import shipment requiring a customs formal entry.
Disbursement Fee
UPS customs brokers speed up clearance using electronic shipment data. If UPS prepays duties or taxes, the following disbursement fees apply:
- €7.45 for shipments with an intrinsic value ≤ €22
- €15.20 (minimum) or 3% of the advanced amount for shipments > €22
New International Collect on Delivery (ICOD) Fee
Parcels that require payment of duties, taxes, or other government-related charges must be paid before delivery. If these duties are not paid in advance, the recipient in the U.S. will be asked to pay them upon delivery.
To avoid this, recipients can pay the required duties electronically before the parcel arrives. This can be done through the UPS Import Payment Processing Application (IPPA) using Apple Pay, Google Pay, or a credit card (Visa, Mastercard, or Discover).
Shippers can help ensure the recipient receives a prepayment notification by including their name, phone number, and email address on all export shipments. In addition to the email or SMS notification, the payment link will also appear in the tracking information on UPS.com, allowing recipients to pay in advance and avoid paying upon delivery.
Cost: $12 USD fee for recipient if duties unpaid at delivery
UK Customs Clearance – €3.00
This fee covers the additional costs of processing and handling customs paperwork when shipping parcels to the United Kingdom.
Merchandise Processing Fee (MPF)
Covers the calculation of the Merchandise Processing Fee (MPF), a charge imposed by U.S. Customs based on the shipment’s value. Applies to both formal and informal entries. The MPF calculation is included in the base price.
Formal: 0.3464% / value (min $31.67, max $614.35)
Informal: $2.53 per entry
Warehouse Fee – $132.50
Surcharge charged when an importer requests UPS to file a warehouse entry. These entries are non-routine and must be specifically requested through UPS Supply Chain Solutions.
Warehouse Storage Fee
$25 min + $0.05/lb/day after 2 days
$0.10/lb/day after 7 days
Charged when shipments stay in a UPS warehouse beyond the first two free days.
Where can I see these surcharges on my invoice?
Surcharges are applied by the carrier after the shipment has been processed and may not be visible when you create the label.
You can find these charges in your Sendcloud account via Account > Billing, where you can download your invoice in PDF or CSV format:
- PDF invoice: Shows a summary of your total costs, including surcharges.
- CSV invoice: Shows a detailed breakdown per shipment, including the tracking number, shipping cost, and any applied surcharges.
💡 Tip: Use the tracking number in the CSV to identify which shipment a surcharge applies to.
