📐 Dimension & size surcharges
Volumetric weight surcharge
Always consider volumetric (dimensional) weight when selecting a UPS shipping method.
Key calculations:
- Volumetric weight (kg) = L × W × H / 5000
- Girth (cm) = L + 2×W + 2×H
Examples:
- 2kg actual weight, 34kg volumetric → choose a method for 34kg
- 27kg actual, 8kg volumetric → choose a method for 27kg

How do I determine the dimensional weight of my parcel Source UPS:
Dimensional weight reflects parcel density, which is the amount of space a parcel occupies compared to its actual weight. Dimensional weight may apply to all UPS domestic and international parcel services.
Determine the parcel measurement in centimeters. For each measurement, start at the longest point, rounding each measurement to the nearest whole number.
Multiply the parcel length (longest side of the parcel) by the width by the height. The result is the cubic size in centimeters.
Divide the cubic size in centimeters by 5,000. Increase any fraction to the next half kilogram.
Compare the parcel's actual weight to its dimensional weight. The greater of the two is the billable weight and should be used to calculate the rate.
Surcharge for large packaging – €24.20
- This surcharge will be applied for each parcel in which the length + size [(2 x width) + (2 x height)] exceeds 300 cm, but is not more than the maximum allowed UPS size of 400 cm.
- For large packages, a minimum weight of 40kg will be charged, in addition to the large package fee.
- No additional handling fee will be charged if the bulk package fee applies.
Over the maximum limits – €106.20
Parcels over 70 kg, 274 cm in length, or with a girth over 400 cm are not accepted.
Parcels exceeding 400 cm in girth may also receive a large package surcharge.
📍Address & delivery surcharges
Surcharge for residential addresses – €4.25
An extra fee applies for deliveries to residential addresses, including home-based businesses.
Surcharge package return to sender
When a parcel can't be delivered or is returned upon request, a surcharge equal to the original shipping cost will apply.
This applies to both domestic and international shipments. For international returns, see the Import fees section for additional charges.
Cost: Shipping costs
Surcharge for returns - Print label – €1.85
If your customer has the return label printed at a service point.
On-call collection (requested by the end customer) – €3.20
You can schedule a UPS pickup online for the same day or a future date. All packages are collected with one request.
A collection fee applies for:
- Electronic Return Labels and Print Return Labels
- Pickups from regular or alternate addresses
- Cash payment pickups
Fees vary by request type:
- Same day or future day
- By phone or online
No fee applies to:
- Daily pickups during established hours
- Returns under UPS 1 Attempt or 3 Attempts Returns Plus (fee applies after first failed attempt)
- International shipments outside the EU within the same pickup
Special Handling of Undeliverable Shipments – €8.00
If UPS is unable to deliver a Worldwide shipment after attempted delivery, it will be processed according to your instructions. The shipper will be charged transport costs plus a surcharge.
For EU and domestic shipments, UPS will return the parcel via Standard service (if available), with return transport and fuel costs applied.
📦 Packaging & handling surcharges
Additional handling service – €5.20
This fee applies to parcels that require special handling, including:
- Items packed in metal or wood
- Cylindrical items not fully packed in cardboard
- Longest side > 100 cm or second-longest side > 76 cm
- Actual weight > 25 kg
- Average weight > 25 kg with no declared weight per package
UPS may also apply this fee at its discretion for any package it deems requires extra handling.
Note: No money-back guarantee applies to shipments requiring additional handling.
Prohibited item fee – €280
There are certain prohibited items that UPS will not ship due to laws or regulations. It is the shipper's responsibility to comply with current government regulations or laws applicable in each country.

Missing Package Level Detail Fee – €4.45
A fee applies when the shipper does not provide a timely upload of all applicable Package Level Detail (PLD) information to UPS before package pickup (both domestic and international services).
Declared Value for Carriage
UPS automatically protects every shipment against loss or damage up to a certain value, as described in its liability terms.
With Declared Value for Carriage, you may increase UPS’s limit of liability for proven losses by declaring a higher value for carriage on the UPS shipping documentation. The value of the goods declared must not exceed USD 50,000 or its local currency equivalent per package. For more information, refer to UPS’s Terms and Conditions of Carriage.
Freight collect shipments are billed to the consignee.
Cost: 1% of the value of the goods declared for carriage, with a minimum charge of €10.20.
🧾 Billing & correction surcharges
Shipping Charge Correction Audit Fee
Applies to domestic, export, and import shipments if the correction exceeds 25% of the original net shipping cost (transport charges only).
The billable weight is based on the greater of actual or dimensional weight.

Cost: €1.50 or 8% of correction amount
Receiver or Third Party Refuses to Pay – €13.85
If the receiver or a third party is selected to pay shipping costs but the account number is incorrect or missing, UPS will try to locate the correct number. A processing fee per shipment is charged to the shipper, regardless of the outcome.
Weekly service charge – €12.20
Without special arrangements for collection, a UPS driver will visit you once a day to collect any shipments. A weekly service charge will apply.
🌍 International & customs surcharges
Import fees
UPS charges the following fees when a parcel is imported. These will be forwarded to you (the merchant) by Sendcloud:
- Import duties: Calculated based on the HS Code and its associated duty rate, multiplied by the value of the goods.
- Import VAT: Calculated as the VAT rate of the importing country × value of the goods. This VAT can usually be reclaimed in your VAT return, so it doesn’t count as an additional cost.
- Provision fee: If UPS pays duties, VAT, or other government charges in advance, a provision fee is charged. This is:

- €8.30 per shipment with an declared value ≤ €22
- A minimum of €17.25, or 2.75% of the advanced amount for shipments > €22
Entry Preparation Fee – €6.95
UPS will charge a fee for every Import shipment requiring a customs formal entry.
UPS Import Control
This service allows efficient management of import shipments from over 120 countries. It gives you control over customs documents, delivery speed, and billing preferences through UPS’s technology.
Available options and pricing
- Print Return Label: €1.85 per package (or per pallet for Worldwide Express Freight)
- Electronic Return Label: €2.30 per package (or per pallet for Worldwide Express Freight)
- 1 UPS Collection Attempt: €7.30 per package (or per pallet for Worldwide Express Freight)
- 3 UPS Collection Attempts: €9.85 per package
- Commercial Invoice Removal: €20.20 per shipment
New International Collect on Delivery (ICOD) Fee
Parcels that require payment of duties, taxes, or other government-related charges must be paid before delivery. If these duties are not paid in advance, the recipient in the U.S. will be asked to pay them upon delivery.
To avoid this, recipients can pay the required duties electronically before the parcel arrives. This can be done through the UPS Import Payment Processing Application (IPPA) using Apple Pay, Google Pay, or a credit card (Visa, Mastercard, or Discover).
Shippers can help ensure the recipient receives a prepayment notification by including their name, phone number, and email address on all export shipments. In addition to the email or SMS notification, the payment link will also appear in the tracking information on UPS.com, allowing recipients to pay in advance and avoid paying upon delivery.
Cost: $12 USD fee for recipient if duties unpaid at delivery
UK Customs Clearance – €3.00
This fee covers the additional costs of processing and handling customs paperwork when shipping parcels to the United Kingdom.
Merchandise Processing Fee (MPF)
Covers the calculation of the Merchandise Processing Fee (MPF), a charge imposed by U.S. Customs based on the shipment’s value. Applies to both formal and informal entries. The MPF calculation is included in the base price.
Formal: 0.3464% / value (min $31.67, max $614.35)
Informal: $2.53 per entry
Warehouse Fee – $132.50
Surcharge charged when an importer requests UPS to file a warehouse entry. These entries are non-routine and must be specifically requested through UPS Supply Chain Solutions.
Warehouse Storage Fee
Charged when shipments stay in a UPS warehouse beyond the first two free days.
$25 min + $0.05/lb/day after 2 days
$0.10/lb/day after 7 days
💬 Other surcharges
Saturday Delivery Surcharge – €4.00
A surcharge applies for all shipping methods that include Saturday delivery.
Service Fee – €0.50 per shipment
Where can I see these surcharges on my invoice?
Surcharges are applied by the carrier after the shipment has been processed and may not be visible when you create the label.
You can find these charges in your Sendcloud account via Account > Billing, where you can download your invoice in PDF or CSV format:
- PDF invoice: Shows a summary of your total costs, including surcharges.
- CSV invoice: Shows a detailed breakdown per shipment, including the tracking number, shipping cost, and any applied surcharges.
💡 Tip: Use the tracking number in the CSV to identify which shipment a surcharge applies to.
